Christmas Wholesale from China: Build a Ready-Stock Order Brief
Updated 2026-11-04
For Christmas wholesale buying in November, a useful first step is to test whether the order is feasible for your selling window. A cheap listing is of little use if the goods arrive after your customers need them. Start with a clear order brief and a backup plan.
This guide focuses on ready-stock purchasing decisions. For the broader market context, see our Yiwu Christmas products sourcing article.
Define the date that matters to your business
Your target should be the date inventory must be available for sale, with time allowed for receipt, checks, labeling and distribution. It is not simply the date a supplier promises to dispatch. Tell your China sourcing agent the destination postal code, sales channel and latest commercially useful arrival date.
Request a timeline showing supplier readiness, domestic transport, warehouse processing, international transit and destination clearance. Each stage can change. If the route cannot reasonably support your deadline, reduce the scope, consider later-season demand or plan the next buying cycle rather than relying on an unsupported delivery promise.
Ask what “in stock” means for your exact order
- Are the requested colors, sizes and quantities available now?
- Does the quantity refer to individual units, sets, inner packs or cartons?
- Is the stock already packaged, and can the supplier provide current photographs?
- Does adding a logo, label or gift box create a production step?
- How long can the supplier hold the stock, and what confirms the reservation?
A listing showing inventory is not the same as written confirmation of your full variant mix. State that substitutions require your approval. For repeat orders, record the model and specification rather than relying on a product photograph.
Choose a manageable assortment
A smaller number of clearly specified products can be easier to confirm and inspect than a large assortment of uncertain variants. Compare standard packaging with custom packaging and consider whether customization adds enough value to justify the extra time.
Product requirements depend on the item and destination. Electrical decorations, toys and products intended for children may require specific documentation or testing. Ordinary visual QC photos do not establish regulatory compliance. Ask what evidence is needed before committing funds, and use qualified advice where required.
Compare landed cost and unsold-stock exposure
Request an itemized calculation covering goods, domestic delivery, purchasing services, agreed inspection or repacking, international shipping and the treatment of import charges. Compare cost per saleable unit, not only the supplier’s unit price.
For illustration only, buying 100 seasonal units at an assumed total cost of $800 produces an $8 cost per unit if all are saleable. If 20 remain unsold with no recovery value, the same $800 spread over 80 sold units is $10 each, before your own selling expenses. This is a simplified planning example, not a sales forecast.
Less dated designs may offer more flexibility for later sales, but demand is still uncertain. Set a maximum order exposure that your business can afford and avoid treating a discount as proof that more inventory will sell.
Copy this procurement brief
- Product links or reference images, model specifications and acceptable alternatives.
- Quantity by variant, carton requirements and maximum total budget.
- Destination country and postal code; business or residential delivery.
- Latest useful arrival date and whether a partial shipment is acceptable.
- Packaging, labeling, documentation and inspection requirements.
- Who approves substitutions and what happens if stock or the timeline changes.
Set a fallback before paying
Possible alternatives include removing a delayed product, accepting an approved standard pack, splitting an urgent item from the rest or postponing the order. Each option needs a fresh cost and timing assessment. Do not assume that paying for a faster service will eliminate supplier or customs delays.
